Course Modules

1
Introduction to Calmshell Pro

This module establishes the foundation for working within Calmshell Pro. You will understand why the platform exists, what is expected of you as a provider, and how to access the system securely for the first time.

Purpose of Calmshell Pro

Calmshell Pro is the secure, professional environment where credentialed providers deliver culturally responsive mental health and wellness services to clients of the Calmshell community. It is purpose-built for clinical safety, privacy, and compliance — distinct from the public-facing client app (app.calmshell.ca) and the marketing site (www.calmshell.ca). The platform brings client records, scheduling, secure messaging, clinical documentation, care coordination, and compliance tooling together in one protected workspace.

Provider Responsibilities

As a provider on Calmshell Pro you are responsible for: maintaining an active, in-good-standing professional licence; practising within your credentialed scope; protecting the confidentiality and security of all client information; documenting care accurately and promptly; responding to clinical and administrative notifications in a timely way; and using the platform only for authorised, professional purposes.

  • Practise only within your credentialed scope and profession.
  • Keep your licence, insurance, and credentials current and upload renewals promptly.
  • Protect every client record as if it were your own most sensitive information.
  • Document care at the point of service wherever possible.
  • Respond to urgent alerts and notifications without unreasonable delay.

Platform Overview

The workspace is organised around a left sidebar for navigation, a top header showing your current section and notifications, and a main content area for the active tool. Core areas include the Dashboard, Clients, Calendar, Messages, Clinical Tools, Care Plans, Compliance, Reports, and Profile Settings. Administrative and compliance tools (Security, Breach Response, Legal & Consent) are available to authorised roles only.

System Requirements

Calmshell Pro runs in any modern web browser (Chrome, Edge, Safari, Firefox) on desktop, tablet, or mobile. For video sessions, a stable internet connection, webcam, and microphone are required. Always use the latest browser version and keep your device's operating system updated for security.

Logging In Securely

Access the platform only at provider.calmshell.ca. Never enter your credentials on a look-alike site. Use a unique, strong passphrase that you do not reuse elsewhere. Calmshell staff will never ask you for your password. If you are ever unsure you are on the genuine login page, stop and contact support.

Multi-Factor Authentication (MFA)

MFA is mandatory for all providers and administrators before clinical data can be accessed. After entering your password you must complete a second verification step using an authenticator app (recommended). MFA dramatically reduces the risk of account takeover. Keep your backup recovery codes in a secure, offline location in case you lose your device.

  • MFA is required — clinical access is blocked until it is set up.
  • Use an authenticator app (e.g., Google Authenticator, Authy) rather than SMS where possible.
  • Store recovery codes securely and never share them.
  • If you lose access, use the recovery flow — do not create a duplicate account.

Password Security

Choose a long passphrase (a sequence of unrelated words or a sentence) over a short complex password. Never write passwords on sticky notes or share them by email or message. Use a reputable password manager. Change your password immediately if you suspect it has been exposed.

Provider Dashboard Overview

The Dashboard is your daily landing page. It summarises upcoming sessions, pending tasks, recent messages, risk alerts, and key statistics so you can prioritise your day at a glance. Familiarise yourself with its layout — it is the fastest way to understand what needs your attention when you log in.

Practical Activity

Log in to Calmshell Pro, complete MFA setup if prompted, and spend 10 minutes exploring the Dashboard. Identify the upcoming sessions, pending tasks, and notifications areas.

Key Takeaways

  • •Calmshell Pro is the secure clinical workspace, separate from the client app and marketing site.
  • •MFA is mandatory before any clinical access is granted.
  • •The Dashboard is your daily starting point for prioritising work.
2
Navigating the Workspace

Efficient navigation saves time and reduces error. This module walks through every major section of the platform so you can move confidently between tools.

Dashboard

Your real-time command centre: upcoming sessions, pending tasks, recent messages, risk alerts, and summary statistics. Check it first each time you log in.

Sidebar Navigation

The left sidebar lists every tool available to your role. Items you cannot access are hidden automatically based on your permissions. Use it as your primary map of the platform.

Client Management

Open the Clients area to search, view, and manage your client roster and individual client records.

Calendar

View, create, and manage appointments and your availability across days and weeks.

Messaging Centre

Secure, audited communication with clients and with other providers on the platform.

Notifications

The Notifications Centre consolidates system, clinical, and administrative alerts requiring your attention.

Tasks

Your My Docket and task lists track assigned care tasks, follow-ups, and outstanding documentation.

Clinical Documentation

Clinical Tools holds progress notes, care plans, assessments, risk tools, and outcome measures.

Reports

Reports and analytics surfaces activity, outcomes, and compliance reporting for you and your team.

Profile Settings

Manage your professional profile, availability, session settings, cancellation policy, and account preferences.

Help Centre

Access the Operations Manual, support tickets, and learning resources when you need guidance.

Practical Activity

Navigate to every section listed above at least once. Bookmark or note the path to the three you expect to use most often.

Key Takeaways

  • •The sidebar is your map — unavailable items are hidden by role.
  • •Notifications and Tasks keep you from missing time-sensitive work.
  • •Clinical documentation lives in Clinical Tools, not in individual client notes only.
3
Managing Client Records

The client record is the heart of safe, coordinated care. This module covers how to find clients, read their records responsibly, and keep information accurate and current.

Finding Clients

Use the Clients list to search by name or filter by status. You will only see clients assigned to you (or, for authorised roles, the full roster).

Viewing Profiles

Each client profile holds demographics, contact details, emergency contacts, insurance, diagnosis, treatment goals, and care history. Review the full profile before any session.

Reviewing Consent Status

Consent status indicates whether the client has consented to share data from their Calmshell app and to receive care. Never assume consent — verify it before sharing or syncing information.

Emergency Contacts

Locate emergency contacts on the profile. Know who to reach (and through what channel) if a client is in crisis and unreachable.

Risk Indicators

Risk indicators and risk scores surface elevated-risk clients. Treat risk flags as clinical signals requiring timely review, not mere administrative labels.

Care History

Care history, past sessions, and prior notes give context for continuity. Read recent entries before a new session to avoid repeating or contradicting prior care.

Assessments

Completed assessments and outcome measures are stored against the client. Use them to track progress over time and to inform treatment planning.

Treatment Plans

Care plans document goals, interventions, and review dates. Keep them current — an outdated plan is a documentation and safety risk.

Uploading Documents

Upload external records, reports, or referrals as file attachments. Never store large files or sensitive images inside free-text fields — use the document upload and store the returned link.

Updating Client Information

Correct demographic or contact details when they change. Make edits promptly and accurately; the audit log records who changed what and when.

Practical Activity

Locate one assigned client and review their complete profile: demographics, consent status, emergency contact, risk indicators, recent notes, and current care plan.

Key Takeaways

  • •Verify consent before sharing or syncing any client information.
  • •Read recent care history before every session for continuity.
  • •Keep profiles and care plans current — edits are auditable.
4
Scheduling and Appointment Management

Reliable scheduling keeps clients engaged and your day structured. This module covers the full appointment lifecycle from setting availability to recording attendance.

Set Availability

Define your weekly availability, recurring breaks (e.g., lunch, admin blocks), buffer times between sessions, and blackout dates for vacations. Accurate availability is what makes booking work for clients.

Create Appointments

Book sessions by selecting the client, session type (video, phone, in-person), duration, and time. The calendar respects your availability and buffer rules to prevent conflicts.

Reschedule Appointments

To move a session, reschedule rather than cancel-and-recreate where possible so the client retains continuity and history. Clients are notified of changes.

Cancel Appointments

Cancellations should follow your stated cancellation policy. Provide as much notice as possible and document the reason in the client record.

Send Reminders

Automated reminders can be configured to notify clients (and you) ahead of sessions. Confirm reminder settings in your profile so clients receive timely prompts.

Join Virtual Sessions

Video sessions launch from the appointment. Join from a private, quiet, secure location on a trusted device. Test your camera and microphone before the first session.

Record Attendance

Mark attendance (attended, no-show, cancelled, late) promptly after each session. Attendance feeds reports, billing, and continuity tracking.

Complete Follow-Up Tasks

After a session, complete any follow-up tasks: notes, referrals, care plan updates, or risk escalations. Do not let follow-ups accumulate.

Practical Activity

Create a test appointment, reschedule it, cancel it, and then record attendance on a completed session. Confirm reminders are enabled in your profile.

Key Takeaways

  • •Accurate availability and buffers prevent scheduling conflicts.
  • •Reschedule rather than cancel-and-recreate to preserve continuity.
  • •Record attendance and complete follow-ups promptly after every session.
5
Secure Messaging

Secure messaging supports timely, auditable communication. This module covers how to communicate safely with clients and colleagues while maintaining clinical and privacy standards.

Sending Secure Messages

All messages within Calmshell Pro are encrypted in transit and at rest and are retained in an auditable trail. Use platform messaging for any client communication — never personal email or SMS.

Client Communication

Keep messages professional, concise, and clinically appropriate. Avoid sharing sensitive details that belong in a note. Set expectations about response times with clients up front.

Provider-to-Provider Messaging

Use care-team messaging and consultations for coordination and clinical handovers. Clearly identify the client, the question, and the urgency. Document significant clinical decisions in the record, not only in messages.

File Sharing

Share files through the platform's secure upload — never as unprotected email attachments containing PHI. Confirm the recipient before sending.

Communication Etiquette

Be respectful, clear, and culturally responsive. Avoid jargon. Acknowledge receipt of urgent messages. Do not use messaging for emergency or crisis response — use the escalation workflow instead.

Message Documentation

Clinically significant messages should be summarised or referenced in the client's progress notes. Messaging is communication, not a substitute for the record.

Escalating Urgent Concerns

If a message reveals risk or crisis, escalate immediately through the crisis escalation workflow rather than continuing a message thread. Time-sensitive risk is never handled by waiting for a reply.

Practical Activity

Send a secure message to a colleague (or a test contact) and reply to an incoming message. Identify where the crisis escalation pathway is accessed.

Key Takeaways

  • •Use platform messaging for all client communication — never personal channels.
  • •Document clinically significant messages in the client record.
  • •Escalate risk through the crisis workflow, not by waiting for replies.
6
Clinical Documentation

Documentation is a professional, legal, and clinical responsibility. This module covers how to create, correct, and safeguard clinical records to a high standard.

Create Progress Notes

Write a progress note for every clinical encounter, ideally at the point of care. Include date, client, type of contact, clinical content, interventions, risk status, and plan.

Draft Clinical Notes

Use clear, objective, professional language. Record observations and the client's words where relevant. Distinguish facts from clinical impressions. Avoid speculative or judgemental language.

Complete Care Plans

Care plans capture goals, interventions, responsibilities, and review dates. Update them as treatment evolves and review them at the intervals you set.

Record Interventions

Document the interventions delivered in each session so progress and modality use can be tracked over time and across the team.

Document Risk Assessments

Record risk assessments using the platform's risk tools. A risk assessment is a clinical action — document it fully, including rationale and any escalation triggered.

Save Documentation Securely

Save notes within the platform only. Never copy clinical content into personal documents, personal email, or unmanaged devices. The platform protects and audits the record; personal storage does not.

Correct Documentation Errors

To correct an error, do not delete the original — add a clearly marked addendum or correction with date and author. The audit trail must remain intact. Never alter a note to misrepresent what occurred.

Apply Documentation Standards

Follow your professional college's documentation standards and Calmshell policy: timely, accurate, complete, legible, and attributable. Late entries should be marked as such.

Practical Activity

Complete a simulated client progress note including risk status and plan. Then practise adding a correction addendum to an existing note.

Key Takeaways

  • •Document at the point of care wherever possible.
  • •Correct errors with addenda — never delete or silently alter records.
  • •Keep clinical content inside the platform only.
7
Care Tasks and Workflow Management

Care is a team activity. This module covers how tasks, follow-ups, and workflows keep work from falling through the cracks.

Assigned Tasks

Your My Docket lists tasks assigned to you — clinical follow-ups, documentation, reviews, and administrative items. Treat it as your single source of pending work.

Follow-Up Reminders

Reminders surface time-sensitive follow-ups. Act on them or reassign them; do not let them age silently.

Client Action Plans

Action plans tie tasks to specific client goals. Keep them aligned with the care plan and update them as goals change.

Monitoring Outstanding Activities

Regularly review outstanding tasks and overdue documentation. Overdue documentation is flagged and visible to authorised roles — stay ahead of it.

Escalation Workflows

When a task or client situation exceeds your role or capacity, use the escalation workflow to route it to the right person promptly. Escalation is a safety action, not a sign of failure.

Care Coordination

Use referrals, care-team consultations, and assignments to coordinate care across providers. Document handovers so the next provider has what they need.

Workflow Tracking

Workflow status (open, in progress, escalated, completed) gives visibility across the team. Keep statuses current so dashboards and reports are accurate.

Practical Activity

Open My Docket, complete one assigned task, and reassign or escalate another. Confirm the status change is reflected on the dashboard.

Key Takeaways

  • •My Docket is your single source of pending work.
  • •Escalate promptly when a situation exceeds your role or capacity.
  • •Keep task statuses current so team visibility is accurate.
8
Privacy, Security, and Safe Platform Use

Protecting client information is both a legal duty and a clinical one. This module is the most important in the course and underpins every other module.

Confidentiality Obligations

You owe clients a duty of confidentiality rooted in professional ethics and law. Share information only as permitted by consent, law, and Calmshell policy. When in doubt, do not share — ask.

Privacy Legislation

Calmshell operates under applicable Canadian privacy law, including PHIPA/PIPEDA and provincial health privacy statutes. You must handle personal health information (PHI) in line with these frameworks and your professional college's guidance.

Role-Based Access

Access to records is granted strictly by role and assignment. You see only what your role and assignments permit. Do not attempt to access records you are not assigned to — attempts are logged and reviewed.

Secure Authentication

MFA and strong, unique passphrases protect your account. Never share credentials. Lock your screen when you step away. Use only trusted devices.

Data Protection

PHI is encrypted in transit and at rest within the platform. Do not export data to personal devices, personal cloud storage, or unmanaged files. Approved exports are logged and subject to approval workflows.

Appropriate Information Sharing

Share only the minimum necessary information, with authorised recipients, for a legitimate care or administrative purpose. Verify identity and authority before sharing.

Audit Logs

Your actions — viewing, editing, exporting, accessing records — are recorded in audit logs. Logs protect clients and providers and are reviewed for security and compliance. Knowing your actions are logged is a safeguard, not a threat.

Incident Reporting

Report any suspected privacy or security incident — a lost device, misdirected message, suspicious access — immediately through the platform's incident and breach reporting tools. Early reporting limits harm and is required by policy and law.

Device Security

Use encrypted, password-protected devices. Keep software updated. Avoid public Wi-Fi for clinical work or use a trusted VPN. Never leave a device unattended and unlocked while client data is visible.

Correcting Records

Correct inaccurate records through addenda, not deletion. If a client believes a record is inaccurate, follow the correction process and document the request and outcome.

Reporting Suspected Privacy Breaches

If you suspect a breach — whether caused by you, a colleague, or an external event — report it at once. Calmshell has a defined breach response process with detection, containment, notification, and review. Prompt reporting is a protected, expected action.

Practical Activity

Review three short scenarios and identify the privacy risk in each (e.g., a shared password, a misdirected message, an unattended unlocked screen). State the correct action for each.

Key Takeaways

  • •Share the minimum necessary, with authorised recipients, for a legitimate purpose.
  • •Never share credentials; lock screens; use trusted devices only.
  • •Report suspected breaches immediately — early reporting limits harm.
9
Notifications and Alerts

Notifications keep you responsive. This module covers managing alerts so urgent items are never missed.

Manage Notifications

The Notifications Centre consolidates all alerts. Review it regularly and clear or act on items so it stays manageable.

Respond to Alerts

Prioritise by type and urgency. Clinical and risk alerts take precedence. Acknowledge alerts where required so the system and your team know they have been seen.

Review Urgent Client Flags

Urgent client flags indicate risk or time-sensitive needs. Review them immediately and follow the appropriate workflow — do not defer urgent flags.

Monitor Overdue Documentation

Overdue documentation alerts help you stay current. Treat them as priorities, not optional reminders, to protect continuity and compliance.

Configure Notification Preferences

Set your notification preferences in Profile Settings to match how you work, while ensuring clinically critical alerts cannot be disabled.

Practical Activity

Open the Notifications Centre, acknowledge an alert, and confirm your notification preferences are configured for your working pattern.

Key Takeaways

  • •Review the Notifications Centre every time you log in.
  • •Clinical and risk alerts take priority over administrative ones.
  • •Keep clinically critical alerts enabled at all times.
10
Help, Support, and Troubleshooting

Knowing where to get help keeps you productive and prevents small issues from becoming disruptions.

Frequently Asked Questions

Check the knowledge base and Operations Manual first for common questions about navigation, scheduling, and documentation.

Technical Support

For technical issues (login, video, errors), raise a support ticket with details: what you were doing, what you expected, and what happened. Screenshots help.

Reporting Bugs

Report bugs promptly with steps to reproduce. Do not attempt workarounds that compromise security (e.g., sharing credentials or exporting data to personal storage).

Requesting Assistance

For clinical workflow or access questions, contact your supervisor or the appropriate program lead. For account or permission issues, contact administration.

Learning Resources

Use the Operations Manual, this course, and in-platform guidance. Revisit modules as a refresher rather than guessing.

System Updates

When significant platform updates are released, re-take this course or review the updated modules. Stay current to use new safety and compliance features correctly.

Provider Knowledge Base

The knowledge base holds reference material for daily work. Bookmark it for quick access during sessions.

Practical Activity

Locate the Operations Manual, the support ticket tool, and the knowledge base. Raise a practice support ticket describing a hypothetical issue.

Key Takeaways

  • •Check the knowledge base and Operations Manual before escalating.
  • •Report bugs with clear steps to reproduce and screenshots.
  • •Re-take this course after significant platform updates.
